1. Scope and business identity

This Privacy Policy describes the handling of personal information in connection with the Valmera Labs website, prospective customer inquiries, project requests, and professional-service discussions. Valmera Labs is a software development business based in Louisville, Kentucky. This website explains Valmera workflow software and provides a service request channel. Where a separately contracted platform or customer workspace is later made available, additional terms and privacy documentation may apply.

2. Information you choose to provide

When you submit a service inquiry, the site may collect your name, business email address, organization, requested service, team size, expected timeline, and the explanation you type into the project field. Messages and any later correspondence may also contain business contact information and other details you voluntarily disclose. Do not submit health records, payment-card data, government identifiers, or credentials through the inquiry form.

3. Technical and website data

The Shopify storefront infrastructure, your browser, and any infrastructure or security providers enabled for the store may process technical information such as IP address, browser type, device information, page requests, and necessary cookie identifiers. Some information is processed to deliver pages, maintain security, prevent abuse, and operate contact submission. The exact technical data available to Valmera Labs depends on the active Shopify configuration and any services the website owner has enabled.

4. Purposes of collection and processing

We use inquiry details to read and respond to your request, determine whether a service consultation is appropriate, plan the scope of possible services, provide requested product information, maintain reasonable business records, and secure the website against misuse. We may also process technical information to troubleshoot, protect availability, and comply with legal obligations. We do not claim that completing the form creates a paid subscription or a customer account.

5. Legal bases where required

For individuals in jurisdictions where a legal basis must be stated, processing may rely on steps requested before a contract, legitimate interests in providing and protecting a business website, compliance with applicable law, or consent where consent is legally required. Legitimate interests are balanced against the interests and rights of individuals. Consent, when used, may be withdrawn subject to applicable legal limitations.

6. Sharing and service providers

Website data may be handled by Shopify as the website platform and by providers actually configured for hosting, security, communication, or service administration. We share only information reasonably related to the service being supplied or as required by applicable law, legal process, or protection against misuse. This policy does not identify unverified providers as active subprocessors. An appropriate vendor inventory should be maintained as the service stack evolves.

7. International handling

Because internet infrastructure and service providers may operate from different locations, information can be processed outside the state or country where it was originally provided. Where cross-border safeguards are required, the applicable provider agreements and legal transfer mechanisms must be assessed and implemented. This policy does not assert that a particular international transfer arrangement exists when it has not been confirmed.

8. Security and access

We aim to restrict access to information to people and service providers who need it for legitimate business purposes and to use reasonable safeguards appropriate to the data involved. No online service is completely secure. Avoid transmitting highly sensitive data through general website forms. If a future customer workspace is provided, detailed access, account security, and incident responsibilities should be set out in its applicable terms.

9. Retention and deletion

Inquiry information is kept for the period reasonably necessary to respond, maintain relevant business records, manage disputes, meet legal obligations, or enforce applicable agreements. Retention periods may depend on the nature of the request, legal requirements, and the systems used. When information is no longer needed, we take reasonable steps to delete or de-identify it, subject to backup cycles and lawful retention. A request to delete information may be made through the contact details below.

10. Individual privacy requests

Depending on your jurisdiction, you may have the right to request access, correction, deletion, a copy of personal information, restriction of processing, objection, withdrawal of consent, or information about disclosure. Some rights are subject to verification and legal exceptions. We may request limited information to verify that a request is authentic. We will respond in the period required by applicable law.

11. Children and external websites

The website is intended for businesses and professional users, not children. We do not knowingly seek to collect personal information from children through service inquiries. If we become aware of such a submission, we will address it in accordance with applicable law. Third-party sites, if separately enabled through the Shopify theme or vendor integrations, have their own privacy practices.

12. Changes to this notice

We may revise this Privacy Policy to reflect new functionality, vendor relationships, legal requirements, or actual data handling. Material changes should be reflected in a revised date and, where required, additional notice. Always review this policy in conjunction with the live site configuration; it is not a substitute for verifying enabled analytics or other integrations.

13. Categories of personal information

Business contact identifiers may include first and last name, email address, phone number, company name, and the details contained in project requests. Professional information may include team size, requested service, project timeframe, business process descriptions, and subsequent correspondence. Technical data may include browser and device attributes, request timestamps, IP address, and security or consent records created by the underlying website platform. We do not ask visitors to provide payment-card numbers, passwords, government identifiers, medical files, or confidential customer datasets through the public request form. If sensitive material is needed for an agreed project, it should be exchanged only through a channel approved by both parties.

14. Sources and collection points

Information is obtained directly from a visitor when that visitor completes the service request form, corresponds with the company, or requests project information. Website infrastructure may automatically create connection, diagnostic, security, and consent-related records when a browser requests a page. Information later supplied by a business during a separate professional engagement will be handled according to the relevant contract and, if personal data is processed on that business’s behalf, any applicable data-processing agreement. We do not represent that Valmera currently has a particular account system, payment processor, or integrated analytics vendor unless specifically enabled and disclosed.

15. Business inquiries and communications

We may use the contact information you give us to address the specific inquiry, clarify requirements, prepare a proposed scope of work, discuss scheduling, answer follow-up questions, and manage a professional relationship. Sending a request is not consent to receive unrelated promotional campaigns. If a separate marketing mailing program is introduced, we will provide appropriate notice and an opt-out method. We may keep a record of key project discussions to ensure the written scope accurately reflects the work that was requested.

16. Service providers and recipients

A website platform can process information needed to serve pages, protect sessions, and accept a contact request. Valmera Labs uses Shopify Custom Liquid for the public website, and its contact form relies on Shopify storefront functionality. Information may also be disclosed to an actual email or administrative provider configured by Valmera Labs, a professional adviser who has a legitimate need to assist, or an authority where legally required. We do not publish a fictional list of data recipients. The current production list must be reconciled against enabled Shopify apps, email delivery settings, and any hosting or security providers before the page is published.

17. Automated decisions and profiling

The public website does not offer visitors an automated eligibility or credit decision through the service request form. The fields provided are intended for manual review of the requested business service. Any future introduction of automated profiling, behavior-based advertising, or decisions with a significant effect on individuals would require a separate assessment, an appropriate legal basis, and revised disclosures before deployment.

18. Your choices and preferences

You may choose not to complete the request form, although we would then lack the details necessary to evaluate your inquiry. Where the website presents optional cookie preferences, use the cookie controls to accept or reject optional technologies. Browser settings can also limit many cookies, but blocking strictly necessary platform functionality may affect the website. To request an explanation of a use of your information, correction of inaccurate contact details, or deletion where applicable, use the business contact details at the end of this policy.

19. Business transfer and legal requests

In the event of a lawful restructuring, acquisition, sale of relevant assets, or similar transaction, information reasonably needed for continuity may be transferred subject to applicable notice and other legal requirements. We may preserve or disclose information when reasonably necessary to comply with a valid legal obligation, respond to a lawful request, defend legal claims, investigate abuse, or protect the rights and safety of visitors and other persons. Requests are evaluated in light of applicable law.

20. Accuracy and privacy contacts

You are responsible for providing accurate business inquiry details. Please do not include another person’s private information without an appropriate reason and authority. If you believe a project request contains incorrect information, contact us promptly so the request can be corrected where practicable. We evaluate privacy inquiries according to the law applicable to the request and the actual circumstances. This statement provides general information about website practices and should be reviewed whenever the technical configuration or service scope changes.
